Point of sale (POS)
POS profiles
A POS profile describes one till or shop: POS → POS Profile → New.
- Sells From: the warehouse the till's goods leave.
- Cash Method: the cash drawer's payment method. Sales made while the internet is down are cash only.
- Other Payment Methods: FIB, ZainCash, card and so on accepted at this till.
- Optionally a Walk-in Customer (used when the cashier doesn't choose one), a price list and a branch.
Cashier shifts
Every cashier works in a shift.
- Open: POS → POS Shift → New, choose the till, and type the Opening money in the drawer for each method (usually only cash). Saving opens the shift. A cashier can have one open shift per till.
- Sell: sales made at the till are counted in the shift: what each payment method took, and refunds paid back.
- Close: count the money and type the Counted amount for every method (0 where there is nothing), then submit the shift. Zanix shows for each method the Expected amount (opening + money taken − money paid back) and the Difference. A negative difference is money missing; explain it under Remarks.
Selling at the till
Open POS → Point of Sale. If you have no open shift, choose the till, type the cash in the drawer and click Open shift.
- Scanning: scan with any barcode scanner, or type a code or part of a name and press Enter. The till keeps its items and prices on the computer, so a scan appears at once, without waiting for the internet. Type
3*before a barcode to sell 3. - The cart: change quantities with − and +, type a line discount (your role's maximum discount applies; a manager types their PIN when it's more), remove a line with ×. Promotions, free items, the referral discount, points and taxes are worked out in the background and shown on the lines and totals.
- Customer: walk-in by default; click Customer to choose one (needed to sell on account or to use loyalty points).
- Hold (F4): a customer forgot something? Hold their cart and serve the next customer. Held carts wait as tabs at the top; click one to carry on. They are kept on the till even if the page reloads, but the goods aren't reserved until the sale is paid.
- Pay (F9): type what each method takes (cash is filled with the total; the quick buttons give round notes). Cash beyond the total is change. A walk-in customer pays in full. Complete sale (or Enter) saves the sale and prints the receipt.
- Price check (F2): scan an item to see its name, price, promotion and stock here, without adding it.
- Return (F8): scan the barcode on the receipt (or type the sale number), type how many of each line come back, choose how to refund and click Refund. A manager approves refunds with their PIN. The refund counts in your shift.
- Return without a receipt: in return mode click No receipt, scan what comes back (it is priced at today's price) and click Refund. A manager always types their PIN for it, even when the cashier could approve refunds; the return is marked Without Receipt. Batch items need their receipt, to know which batch came back.
- Batch items (for example medicine): just scan them; the till takes the batch that expires first, never an expired one, and splits the line when one batch doesn't have enough.
- Serial items (for example phones): scan the serial number and the item is added with it. Scanning the product's barcode asks for the serial. The same serial can't be added twice.
- Esc goes back to selling.
When the internet is down
The till keeps selling. The top of the screen shows No connection, and:
- Cash only. Sales on account, FIB, cards, referral codes and loyalty points need the connection.
- Prices come from the till's price list with your line discounts and the company's usual taxes; promotions apply again once you're online.
- Each sale is kept on the till and prints an offline receipt with a code like
OFF-5000CA5C(and its barcode, for returns later). - You can even reload the page; the till comes back from the computer's copy.
- When the internet is back, the waiting sales are sent by themselves, oldest first, with the time they were made. Returns need the connection.
- The earliest sale wins. If two tills sold the same last item while one was offline, the later sale still goes through (even if your company doesn't allow stock below zero) and is flagged for a manager.
- A sale that can't be recorded at all (for example a serial number that was already sold) is held, never lost.
The shift can only close once its offline sales are sent.
For managers: POS → Offline Sales to Review lists held sales with the reason; fix it and click Retry, or record the sale yourself and Mark resolved. Reports → Till Sales to Review lists sales flagged for a look; open one and click Mark reviewed.
Close the shift with Close shift (you're warned about held carts) and count the money as described above.
Reports → Cashier Shifts lists the shifts of a period with their sales and, per payment method, the opening, expected and counted money and the differences.
