The activity log of a document
At the bottom of every record (a company, an invoice, a payment ...) there's an Activity section. It shows everything that happened to it, newest first, with who did it and when. Point at the time ("2 hours ago") to see the exact date and time.
What's recorded
- Created: who made the record.
- Changed: every field that changed, with the old and new value. For example:
- Status from "Draft" to "Paid"
- Notes set to "Call before delivery" (it was empty)
- Discount cleared (was "5")
- Lines: rows added or removed in a table (for example added to Items: Heater), and changes inside a row (Items row 2 (Fan): Qty from "1" to "3").
- Submitted, cancelled, and amended (a corrected copy shows which document it was made from).
- Printed and emailed, with the format, language or recipient.
- Deleted (for drafts).
Values are shown as you'd read them: names instead of codes (Company from "Acme Trading" to "Second Co"), Yes/No for ticks, and plain dates and amounts. They're saved as they were at that moment, so the log stays correct even if the linked record is renamed later.
Saving without changing anything doesn't add an entry. Fields you added yourself (custom fields) are recorded like any other field.
The log can't be edited or deleted. It's the record's history. Changes to who can sign in and what they can do are recorded separately, in the Security log (administrators).
