Forms, custom fields and numbering
Every screen in Zanix ERP where you enter a record (a company, an invoice, an item) is a form. You can shape forms to fit how your business works, without asking a developer.
For everyone: "My form"
Open any new or existing record and click My form at the top right. The settings you make here apply to you only.
- Hide fields. Tick the optional fields you never use and they disappear from the form for you. Required fields (marked with a red star) can't be hidden, because the record can't be saved without them.
- My default values. Fill in values you use most of the time. They're entered for you whenever you create a new record. Example: a cashier who always sells from the "Shop" warehouse sets it as their default warehouse.
Where a default comes from, from strongest to weakest:
- Your own default (My form)
- Your role's default
- Your company's default
- The field's own default
For administrators: Customize form
Open a list (for example Company) and click Customize form.
Add a field
Click Add field and fill in:
| Setting | What it does |
|---|---|
| Label | The name people see, for example "Region". |
| Type | What kind of value it holds: text, number, money amount, date, yes/no, a choice from a list, or a link to another record. |
| Choices | For "Choice from a list": one option per line. |
| Links to | For "Link to another record": which kind of record, for example Company. |
| Place after | Where the field appears on the form. |
| Required | The record can't be saved without it. |
| Show in list | Adds a column to the list screen. |
| Use as filter | Lets people filter the list by this field. |
| Fast sorting and search | Keeps sorting and searching fast when you have many records. Filters always get this. |
Money amounts are always stored exactly, to 3 decimal places.
Change a field
Click Edit on any field to rename it, add help text, make it required, hide it for everyone, show it in the list, or give it a default value for everyone.
- Fields that came with Zanix ("Standard") can't be removed. If they're optional, you can hide them instead.
- Fields that Zanix itself needs are always required.
- Your changes stay when Zanix is updated.
Remove a field you added
Click Remove. The field disappears from forms and lists, but its data is kept. To bring it back, turn on the Removed fields filter and click Restore.
Change the order
Click the reorder button above the table and drag fields up or down.
Company defaults
Click Company defaults, choose a company, and fill in values for everyone in that company. A user's own default (My form) still wins.
Numbering (naming series)
Documents like invoices get a number automatically, for example INV-2026-0001. Set this up under Settings → Naming series.
A pattern is made of parts separated by dots:
| Part | Becomes | Example |
|---|---|---|
YYYY |
the year | 2026 |
YY |
the short year | 26 |
MM |
the month | 03 |
DD |
the day | 21 |
ABBR |
the company abbreviation | ZT |
#### |
the counter, with this many digits | 0001 |
| anything else | itself | INV- |
Examples:
INV-.YYYY.-.####gives INV-2026-0001, INV-2026-0002 ... and starts again at INV-2027-0001 in the new year..ABBR.-SINV-.#####gives ZT-SINV-00001.
Each company can have its own patterns. If a document type has several patterns, people choose one when they create the document.
