Recurring documents

This page isn't translated yet; here it is in English.

Some documents repeat on a schedule: the monthly rent, a yearly insurance payment, a weekly cleaning invoice. Zanix can make the copies for you.

Setting one up

  1. Open the document you want to repeat (for example the journal entry for this month's rent).
  2. Click Repeat. A new Recurring Document opens with the document already filled in, repeating monthly from one month after the document's date.
  3. Change what you need:
    • Repeat: daily, weekly, monthly, quarterly, half-yearly or yearly.
    • Start Date: the date of the first copy.
    • End Date: leave it empty to repeat until you switch it off.
    • Submit Automatically: off means each copy is saved as a draft for someone to check and submit; on means it is submitted (and posted) straight away.
  4. Save.

Every morning Zanix makes the copies that are due. Each copy is the same as the original, dated on its scheduled day, and numbered like any new document. Next Copy On shows the next date, and Last Copy the number of the latest copy. Monthly copies keep the day of the month: one that starts on 31 January is made on 28 or 29 February, then on 31 March.

When a copy can't be made

A copy is made as the person who set it up, with the same checks as if they made it by hand: their permissions, budgets, closed fiscal years and so on. If a copy is refused, it isn't skipped. Zanix writes the reason under Last Problem, sends that person a notification, and tries again the next morning. Fix the cause (for example, add the new fiscal year) and the copy is made.

If that person no longer has access, open the recurring document and save it under your own name.

Stopping

Untick Enabled to pause it. When the end date passes, it switches itself off. Recurring documents are listed under Setup → Recurring Document.
